Why it exists
Three years of chain-of-custody records from an FSC-certified workshop were kept in a spreadsheet, and every surveillance audit passed. Then the file was read back by machine.
Nobody had noticed — not the auditors, and not the workshop keeping the books. An audit samples five to twenty delivery notes out of a year. If the papers look right, nobody digs deeper — which is why compliance and correctness are not the same thing, and why a sheet can hold a clean audit and a wrong number at the same time.
Every figure above was recomputed from that workshop's own file and carries its sheet, row and cell. The errors were not carelessness — they were the shape of the tool: a sheet has no memory of what it said last year, no rule about what may not be written, and it will hold two copies of one number without ever mentioning it.
A balance is never stored. It is derived from the consumptions beneath the pack, so there can only ever be one of it. Cubic metres are computed from the unit and the dimensions on the server — the field cannot be typed into, so a decimal point cannot end up one place out.
The claim is a controlled list, and the claim written out can never be stronger than the claim that came in: the save is refused, not warned about afterwards. A supplier is created by reading their certificate, its expiry is checked against every incoming document, and a certificate code already belonging to somebody else is refused by name.
The conversion factor comes from the drawing — blank against finished, per part, from sawn stock through to the finished component. And the annual volume summary is a button: per period, per claim, per product group, with the documents behind every figure.
Packaging is reportable in its own right. The EU packaging regulation (PPWR, Regulation (EU) 2025/40) has applied since 12 August 2026, and registration is national — country by country, most of them with no minimum quantity. Kubifex counts the kilograms per material and per country from the deliveries already recorded. It produces the figure you report; it does not register you, does not act as your authorised representative and does not pay a scheme on your behalf.
A workshop that holds an FSC chain-of-custody certificate and keeps its records by hand. If the fortnight before a surveillance audit is spent assembling a summary out of a spreadsheet, that fortnight is the thing this replaces.
It sits alongside whatever accounting is already in use. Nothing to integrate, nothing to install, no consultant.
It is not a certification service and not an auditor. It produces the figures and the documents behind them; the audit is still an audit, and the responsibility for what is written out stays with the certificate holder.
